Creating a Weekly Youth Ministry Schedule Using Trello

Who Moved the Goal Post?

Last week on Facebook I asked the question. Who moved my goal post? Yes I know the goal is to reach youth with the gospel message of Jesus Christ. That should always be our goal.

However everything I used to do has changed. My weekly routine for getting ready for our mid week program has changed. How often I need communicate with students on social media or other means as changed. Yes the goal is the same, however everything else changed.

I was left in a place of confusion and ambiguity. I knew I needed to do somethings but for a week or so it was really hit or miss. Post an instagram photo here, hold a zoom meeting, what’s working? What’s not working?

Weekly Planning Board

I needed a way to visually see everything I need to do each day. Here was my answer. I was looking for something that was non specific I could use for anything.

Using Trello I created a board that is empty, with generic labels and different categories. This Trello template gives a daily list with categories for Students, Volunteers, Parents, Staff, Tasks and Personal.

Create new cards below each heading for whatever you need. You could post a reminder to send an instagram story, and save the file under students for Monday.

Maybe save a copy of your parent email under the parent card for Friday. You also could create a checklist for everything you need to do to be ready for your Wednesday night online meeting and include the Zoom link.

It’s open and adaptable for anything you need. Get the template here.

My board was influenced by a Trello board made by Elle Campbell from grow curriculum. She took their concept for creating a year planning board, and made it into a week-in-a-glance board to help you stay on track.

It is filled with suggestions and links for every day which you find in your grow curriculum. I encourage you to check it out. If you are a heavy grow user their board might be the perfect one for you. If you are not a grow user and are looking for awesome curriculum, I’d check it out as well.
